FileNET Tech Support Update

Thierry Boudet from OIT FileNet Support gave the following update:

  • Movement to the new server continues to be top priority. We are waiting on a cumulative patch from the vendor. Once we have received the patch, a new round of testing will begin.

Building a Center Site from Scratch

Deb Alxander, Manda Lo, and Sarah Rydell from Academic Health Center presented a demonstration and discussion, "Building a Center Site from Scratch," regarding how building a new center site from scratch offered challenges that were not the same as when converting a divisional site. The technical and content people worked together to creatively meet those challenges. This site also includes a new implementation of the left-hand navigation from the CHE model (user function).

FileNet Product Demo

Ron White from ADCS discussed briefly four FileNet products that do document imaging and document management. We are planning to have FileNet provide demonstrations on each of these systems along with their P8 WCM product some time in May.

Chris Selstad gave a brief update on the committees activities.

FileNET Tech Support Update

Thierry Boudet from OIT FileNet Support gave the following updates:

  • New Server Rollover:
    This has a high priority for JaWS. It is critical that we migrate to another server that will handle a heavier load.
    After a recent migration attempt using industry standard tools, FileNET informed JaWS that the way it had been done was not supported. With the help of the vendor, significant progress has been made lately. We are very close to completion and we will be able to resume testing. A new rollover date will soon after be communicated.
  • Expiration date/time and purge time:
    WCM is set to take down expired pages from a live site at purge time. Meanwhile, purge time is set to happen when a page has been in a deleted state for more than 24 hours. After discussing the issue with the whole support group, it was decided to not lower the purge time value because this value is also a safety net for users: it gives a 24 hour period during which a page deleted by mistake could be undeleted. The support group feels strongly that the removal of live pages should not be related to the WCM purge mechanism. We brought the issue to the attention of the vendor and we will push for a change in the purge mechanism. In the meantime, when setting the "Expiration date and time" for a page, remember that the page will be taken down from your site 24 hours after the set date and time.
  • Recent issue: pages do not deploy consistently with their content.
    This appears to be an intermittent issue with FileNET and it has been reported to happen only with one of JaWS servers. They are looking into it. If you experience any similar problem, try to let us know before doing anything so that we can identify what's happening on the server itself.
  • "Weekly Tech Support" notes:
    Soon we will introduce a weekly technical support email update which will be sent to the CMS users list. Its form will be refined based on feedback. It will include miscellaneous information from the technical support, an update regarding cases open/closed with the Vendor, as well as useful tips.
  • FileNET Support page:
    A FileNET support section will be added to the FileNET site. It will include all the information presented to the group during the meeting and its goal is to clarify who we are, what we do, and what you can expect from us.

FileNet, MyU Portal, and the Extension Employee Web Site

Bob Rubinyi and Chris Selstad presented a demonstration of how the used FileNet and MyU Portal for the Extension Employee Web site. Some of the areas they addressed included:

  • Design and Process Issues
  • Project Goals
  • Technology and Human Approach
  • Best practices
  • Technical Overview
  • Future Site Enhancements
  • Training and Support
  • Lessons Learned

FileNet Dynamic Content Sub-Committee

(Chaired by Jim Nichols or Chris Selstad)

The sub-committee reported on:

  • The User Function Request Process and Expectations for Requests
  • Update on two new user function requests:
    • PageListing with two categories
    • PageListing restricted to a directory
  • Next sub-committee meeting will be on Feb. 2, 2005. Contact Jim or Chris for more information.

Introducing the FileNet User Network (FUN) Group Chairs

Connie Buechele introduced the new FUN chairs: Peter Riemenschneider from University Relations and Tim Roman from the College of Continuing Education.

FileNET Tech Support Update

Thierry Boudet from OIT FileNet Support gave the following updates:

  • We previously announced that a new server would be put in place over the weekend. The rollover to the new server has been delayed by 2 weeks. The current FileNET server will be brought down at 6:00PM on Friday, Dec. 17, and the new server should be up by 12:00PM on Saturday, Dec. 18. This delay will allow for a thorough testing of FileNET on the new server before it is made live. Thank you for your patience and we apologize for any inconvenience this delay might have caused you or your group.
  • The new version of EditOn Pro (v. 3) will be installed at the same time.

     Open tickets:

     A number of tickets were open with the vendor regarding elements entering Implicit Workflows. For example:

  • Changes to Categories and Access Areas are not being saved.
  • Assets are not being updated correctly.

     Expiration dates/times was fixed:

  • Page expires, goes into a Deleted state, then the script "egbackground.pl" runs to purge expired pages from the site.
  • Once the page has been purged form the WCM database, FileNET also keeps the deployed site in sync with the database and actively takes down the related live page(s). (This is assuming that FileNET can access the server where the live site is.)
  • The "egbackground.pl" runs every 10 minutes

     Changes in FileNET support:

  • For prompter assistance, level 1 FileNet Support will now communicate directly with the vendor. We can open tickets immediately as necessary. Jaws is contacted only when something needs to be done on the server side.

     Use of ticketing system:

  • When you send an email to filenet@umn.edu, a ticket is automatically created and a ticket reference is added to the Subject line: [software.umn.edu #xxxx].
  • So that the ticket is updated with all correspondence and the right people are CC'ed, make sure to leave the ticket ref in the subject line.

Michael Dunham, supervisor of OIT FileNet Level 1 Support added the following:

  • Currently, we have two people handling the issues that come into filenet@umn.edu. We will be adding three more people to help manage the load. We are hoping to be able to respond to issues more quickly. However, please keep in mind that many of these issues require quite a bit of research to solve.

CCE FileNet Workflow Implementation

Tim Roman and Steve Mitchell gave an informative presentation about their use of the FileNet Workflow in the College of Continuing Education. Some of the areas they addressed included:

  • Business case/background
  • Number of users
  • Types of roles/process
  • Best practices
  • Administrative strategies for technical problems

FileNet Sub-Committees

The two FileNet Sub-committee gave updates.

  • FileNet Dynamic Content Sub-Committee (contact Jim Nichols or Chris Selstad for more information) have been working on:
    • A process to request new User Functions
    • They reviewed the three new user function requests that have been decided upon:
      • PageListing with up to three categories
      • PageListing restricted to a directory
      • Detailed PagListing
    • They are looking into an Enhanced staff directory functionality using FileNet
  • RSS News Feed Sub-Committee (contact Rita Resendiz or Ken Sower for more information) provided documentation on:

Thanks to everyone who attended the FileNET user group meeting in September. 

Ryan DeBaker from OIT FileNet Support gave the following updates: 

  • All patches that were issued by FileNET have been applied to the servers.
  • The following issues are pending (as of 9/28/04):
    1. Some problems with pages that cannot be moved
      • It's a refresh problem for the page panel
      • FileNET is working on a patch
      • This issue is classified as a highest priority fix
    2. Deployment - using a port other than port 21
      • confirmed defect
      • port field currently does not work
      • we are waiting a patch
    3. Pages not appearing in page panel (login/logout fixes problem) / and doesn't
      • FileNET is still investgating this issue
      • archived sites
    4. Review Task - New edit buttons there but changes not being saved
      • Case open with FileNET but it is still pending
    5. Copy/Editing Task in Workflow has no Preview step
      • Patch was released to fix problem
      • Working with FileNET to see why changes did not occur
  • Thank you everybody for continued patience while working on issues/tickets

  • New Java Editor coming: Real Objects-- Edit on Pro
    • current version 2.1x
    • Initial indications were we could go to version 4, however; FileNET works with version 3 not 4
    • FileNET is working on getting licensing worked out with Real Objects before getting us the necessary FileNET patches for this new editor.

CHE Category Navigation

Ken Sower from the College of Human Ecology shared information with the group about a User Function they had customized by JaWS for use on their web site. This User Function, named CHE Category Navigation, creates a left side bar navigation of two groups based on categories. A maximum of 3 levels of navigation will be displayed. There are 3 seperate style sheet classes that need to be implement for this user function. They control the text for in the links of the navigation. Numerous images are also required including heading, indicator rollover, and spacer.

This User Function is available for other groups to use.

FileNet Sub-Committees

Two FileNet Sub-committee have been formed. They will be meeting next week for their initial meetings and will provide updates at the next FileNet User Group meeting in November.

The topics address at the July meeting included:

User Group Plans for FY05

1. Schedule of User Group meetings from September 2004 through May 2005:

We have put together the meeting schedule for the year so everyone can hold the dates. The meetings will bi-monthly on the last Tuesday of the month from 10am to 11:30am. Before each meeting, we will send out an email with the meeting location and agenda to remind everyone. Please hold these dates:

  • September 28, 2004
  • November 30, 2004
  • January 25, 2005
  • March 29, 2005
  • May 31, 2005

2. Review of input from the group regarding ideas for future demonstrations and discussions:

Thanks to everyone who attended the FileNET user group meeting in April. One of the agenda items of the meeting was to gather a list of issues to be discussed at future meetings. We asked everyone to identify their top three issues of interest. Based on the feedback, we have put the issues into priority order:

  • Dynamic content / Dynamic applications
  • RSS – portal integration
  • User objects / User functions
  • Strategies for transitioning and use of U of M templates
  • Ideas for mapping out sites – site architecture
  • Collecting data via web / using forms
  • Restricting access using X.500
  • Setting up users – access areas – user levels
  • How to use workflow
  • Strategies for running and managing multiple sites
  • Ability to upload files (including guest access)

We will be using this list as we put together agendas for the coming year. If you have an issue of interest that is not listed, please contact John Sonnack (jsonnack@che.umn.edu) or Connie Buechele (cbuechele@hhh.umn.edu) to have that item added to the list.

OIT updates (training and technical support issues)

Ryan DeBaker, from ADCS, gave the following updates on FileNet support:

  1. Filenet Cases – I opened two cases with FileNET:
    • 1st Case: Review workflow Task. The documentation did not match implementation. Currently the task allows for preview of the page being reviewed but doesn’t let reviewer change content. FileNET responded that the task operates as originally designed. The documentation will be changed.
    • 2nd Case: Copy/Editing workflow Task. The task does not allow for a page preview option while in the wizard. Documentation states that it should. FileNET responded that this was indeed a defect. The engineering team is currently implementing a new task. It will enter testing after it is completed. It will then move into packing in preperation for release in a future patch. I have not been given a timeline on this issue. It will be several weeks before they know more.
  2. I will post any further changes to http://filenet.software.umn.edu

  3. FileNet Support documentation – For those who don't know you can access the FileNET support documentation by going to the support menu (clicking the question mark in FileNet) which will take you to their support site (http://wcmsupport.filenet.com). You must login using the Login ID: visitor, and Password: visitor.
  4. Introducing Thierry Boudet – Thierry will help me provided FileNET level 1 support. Everyone has done a good job sending email to filenet@umn.edu instead of directly to myself. Tierry and I ask that you keep sending the FileNET emails to the main support address. It will help us keep track of the emails, and will expedite response time if one of us is away.
  5. CMSUSERS listserv – A few people reported problems adding themselves to the list when not using the standard U of M email address. If anyone has problems please contact FileNet support and we will get you added.
  6. RSS newsfeeds/webhosting – For assistance with RSS newsfeeds of webhosting, contact JaWS (Java and Web Services) at 626-8800 or visit their site http://www.jaws.umn.edu
  7. New FileNet Server – A new quad processor sun machine has arrived. New patches will be applied when the new server is ready. There are two patches to be put in place: patch 010 and patch 011. I will announce when the switch has been made. I will also provide a bug fix list.

Margaret Miller, from University Technology Training Center, presented some tips for implementing the U of MN Templates in FileNet.

Extension's approach to dynamic content

Chris Selstad, from Extension, shared how they've approached the dynamic content issue, and their plans for integrating FileNET with other information systems within Extension using XML.

We need your help in selecting topics for future meetings.  Please choose the top three issues of interest to you and send your reply to jsonnack@umn.edu.  If an issue of interest to you in not listed, feel free to add it.  We would appreciate if you would respond no later than June 15th.

We would also like to know your preference for when the next meeting should be held.  Please let me know if you would prefer to have a meeting in July, or if you would rather wait until September.
