OIT updates
Jeremy Casper from OIT FileNet Support gave a brief update on the installation of the patches we've been waiting for.
FileNET Working Group Update
Chaired by: Jeremy Casper (ADCS) and Barb Smith (AHC-IS). The FUN Working Group has compiled a list of current FileNet user function and their definitions. Jeremy reviewed these with the group and discussed how they will use this list to inform the E-WCM evaluation process. Everyone is invited to participate inithe working group.
Enterprise Web Content Management (E-WCM) Update
Tim Roman, chair of the RFP Writing Team and Mark Engebretson, co-chair of the Vendor Evaluation Team, provided updates on progress to date nad identified the next steps for their teams.
The New Role of the E-WCM/FUN Group
Tim Roman and Peter Riemenschnieder presented the goals and objectives for the new group. Input was asked from members in attendence on a proposed agenda of future meetings.

FileNET Working Group Update
Chaired by: Jeremy Casper (ADCS) and Barb Smith (AHC-IS). Jeremy & Barb shared their plans for this group as the U of MN moves forward to a new content management system. Everyone is invited to participate inithe working group.
E-WCM Initiative
Under the leadership of Shih-Pau Yen, the University is in the process of looking for the next enterprise-wide web content management system. Tim Roman, who has been leading RFP requirements committee, will describe the project timeline, the process used for requirements gathering and an update on the progress to date.
UThink is the largest academic blogging site in North America with over 2,300 individual blogs, over 33,700 entries, and over 5,400 users. Libraries Web Services Coordinator, Shane Nackerud, will describe how UThink came to be, who uses UThink and why. He will give some examples of the more popular blogs, and a demonstration of how to use the system.
As the University begins the RFP process for its next web content management system (WCM), we are reminded that no one system can be expected to meet all our communication needs. Peter Riemenschneider, from University Relations, will review how existing University Web technologies are being used around campus and how they can work with FileNET (and the next WCM system) to provide more effective communications to our audiences.

FileNet Tech Support Update
Jeremy Casper from OIT FileNet Support gave the following update:
- FileNet has provided us with a new patch that includes a number of bug fixes.
- As soon as possible we will notify the CMSUSERS list as to when the pstch will be applied to the server.
Moving UMNnews to Version 2.0 – “Harnessing the awesome power of FileNET!”
UMNnews, University Relations’ news and information site, has more than 1,300 pages of content and feeds weekly and bi-weekly e-mail newsletters, quarterly print publications and daily stories on the University home page. E-Communications director, Michael Nelson, will tell the tale of how in Spring 2005 he and his team addressed the redesign of a site that required daily updates, how they restructured and added new functionality to old content and how they accomplished their enormous task with only two days of site down-time.
FileNet Working Group Update
Chaired by: Jeremy Casper (ADCS) and Barb Smith (AHC-IS). Jeremy outline the goals of the working group:
- Prioritized end user function requests to be submitted to FileNET
- Determining items to be documented by U of M FileNET support team
- Documenting U of M FileNET support process work flow
Status of future Web content management systems
Shih-Pau Yen, the Deputy CIO, announced that they are beginning the process of searching for the next generation web content management system. He invited all interested members of the FileNet User Group to participate in the process. Yen also announced that the next web content management system, will be centrally supported. They hope to have then system selected and in place by the end of this year. FileNet will continue to be support through the end of 2007.

FileNet Tech Support Update
Jeremy Casper from OIT FileNet Support gave the following update:
- FileNet is working on bug fixes, and is expected to provide us with a patch sometime in October 2005.
- An updated version of the U of MN FileNet Support ticket spreadsheet will be sent to the CMSUSERS list.
Usability Services for Web Sites and Applications
An important component to Web site development is a thorough understanding of your end user. Whether you use FileNet or another system, understanding the needs and motivations of your audience will improve the effectiveness of your site. Alice de la Cova, Usability Services Manager, will familiarize you with the University's usability lab and services. Topics include: focus groups, terminology evaluations, card sorts/cluster analysis, task-based usability evaluations, eye-tracking, and accessibility reviews. The session will include two short videos to briefly demonstrate usability evaluation methods and eye-tracking.
FileNet Users Round Table
Being able to share in the knowledge and experience of others is a key benefit of any networking group. To that end, the FUN group had their first open discussion on how FileNet is being used by the various members of the group.
FileNet Working Group Update
Jim Nichols gave an update on the group's activities.
- The name of this group has changed to more reflect the function of the group (former name was the FileNet Dynamic Content Sub-Committee). Everyone is welcome to participate.
- They are looking for a new co-chair for the group as Chris Selstad has left his position at the U.

- The move to the new server was successfully completed on the weekend of June 10-12, 2005.

Using FileNET to Your Strategic Management Advantage
Just as good management training and tactics are empowering tools for supervising employees, FileNet can be a good tool for empowering web projects. Kristofer Layon, designer and project coordinator in the office of the Senior Vice President for System Administration, presented best practices for using FileNet to manage multiple web projects, and their respective staff. Kris reviewed the Academic Administration Web site and highlighted ways in which FileNet was used to create web projects and facilitate collaboration among staff from multiple offices.
Database-driven web applications and FileNET - an overview of obstacles and their solutions
FileNet has a lot to offer to the management of web applications, but there is always room to improve. Reed McEwan and Margaret Miller from ADCS discussed their experience using FileNet in conjunction with web applications heavily dependent on content managed using a relational database. Specific sites involved include the University Technology Training Center (UTTC) and GetWired! sites. Although the combination of technologies presented (MySQL and JSP/Servlet pages) were specific to UTTC projects, the concepts behind the solutions should easily transfer to similar projects.

FileNet Tech Support Update
Mike Dunham from OIT FileNet Support gave the following update:
- Please join me in welcoming Ellie Claire Boudet and in wishing Thierry, Julie and Lucas all the best. Thierry's daughter
was
born on Saturday, May 28, at 6:08 AM. She weighs 7 pounds 8 onces.
- The U of M FileNet WCM server will be moved to new hardware the weekend of June 11th. The server will become unavailable at 6 pm Friday, June 10th, and may not be available again until Monday morning, June 13th. We regret any inconvenience this may cause. Updates regarding the status of the move (including a notice of return-to-service) will be posted to the CMSUSERS LISTSERV E-mail list.
- Thierry Boudet will be leaving ADCS for another position within the University. Ryan DeBaker will re-assume the duties on FileNet Support that Thierry had been handling. In addition, we will likely add one or two people to the support team. Be assured that we will continue to maintain the levels of support that you've come to expect.
FUN Group Year in Review
It has been over a year since the FUN Group was formed and it’s time to pause and recognize all that has been accomplished in that period of time. With this goal in mind, Peter Riemenschneider presented the FUN Group Year in Review. He revisited topics and issues presented at past meetings, reviewed goals and accomplishments, and recognized all the participating departments and units who have contributed greatly to the success of this group. In addition, he asked members to identify new topics and issues to be addressed at future meetings.

clickable images in filenet
I'm new to using the Image input object in FileNet, and noticed that one basic function appears to be missing: the URL to which the image links (if it is being
used to link to another image or page in a site). Is this functionality available?
Yes! Although the Image object (an object with the input type of Image) doesn't provide this functionality, site developers can build it into their sites. Here's an example of how to add clickable images to your layouts.
Created 3 objects:
- Image (an empty image object)
- Image_URL (an empty input line)
- Clickable_image
The Clickable_image object contained the following code:
<a href="wms_obj_Image_URL"> wms_obj_Image </a>
Inserted the wms_obj_Clickable_image in your layout.
Now, because the objects: Image and Image_URL are nested within the Clickable_image object, these objects will not automatically show up as fields in the content editor. You have to add them, using the Set Links action in the Objects/Layout panel.
Go to the Objects panel and make sure you're viewing your layouts (View > Layouts). Click on the name of the layout and select Set Links. In the window that opens you will find a list of all your objects in the site in the left column and a list of the objects in the particular layout in the right column. In this example above I should already see Clickable_image in the right column and I would need to find
Image and Image_URL in the left column and move them to the right column. This will make those object available in the content editor so
that the end user will be able to select an image (Image) and
supply a url (Image_URL).
filenet assets Assets up to 64MB may now be uploaded to FileNET. Anything larger will need to be stored on your live webserver and the corresponding links would need to be hard coded into your web pages.
